1. Agreement
These terms are a contract between you and FiftyPoint6 Ltd (company no. 11025082, registered in England and Wales, registered office Dodpitts House Dodpitts Lane, Newbridge, Isle Of Wight, Hampshire, United Kingdom, PO41 0TW) ("we", "us") governing your use of PaperHound at paperhound.ai. By creating an account you accept them. If you use PaperHound on behalf of a business, you confirm you have authority to bind that business, and "you" means the business.
2. The service
PaperHound identifies payments in your connected accounting ledger that lack a supporting invoice, searches your connected email account for the matching invoice PDF, and attaches it to the transaction in your accounting software. PaperHound attaches invoices; it does not reconcile transactions — reconciliation remains yours or your bookkeeper's, in your accounting software. 3. Eligibility and accounts
PaperHound is for business use by people aged 18 or over. You sign in with a Google or Microsoft account and are responsible for keeping that account secure and for all activity under your PaperHound account. During early access, accounts are available by invitation.
4. Connected services
You may connect your Gmail account (read-only) and your Xero organisation. By connecting them you confirm you are authorised to grant us that access — for example, that the mailbox and ledger are yours or your business's. You can disconnect either at any time from the app, which revokes our access and deletes data as described in the Privacy Policy. Your use of Google and Xero remains governed by their own terms. PaperHound's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
5. Early access; fees
PaperHound is currently provided free of charge as an early-access service. We may introduce paid plans in future; we will give you reasonable notice and updated terms before anything becomes chargeable, and you will never be charged without agreeing to a price first. As an early-access product, features may change and availability is not guaranteed.
6. Your data
You retain all rights to your invoices, ledger data, and email content. You grant us a limited licence to access, store, and process them solely to provide the service to you. We claim no other rights in your data.
7. Your responsibilities
You are responsible for your own record-keeping and tax compliance, including retaining invoices for the periods HMRC requires. PaperHound is not your system of record: the retained copy of each captured invoice is the one attached to your ledger, and you should verify matches and attachments before relying on them. PaperHound does not provide accounting, tax, or legal advice.
8. Acceptable use
You must not use PaperHound unlawfully, attempt to access another customer's data, probe or disrupt the service, resell it, or connect a mailbox or ledger you are not authorised to connect.
9. Intellectual property
We own the PaperHound software, site, and branding. We grant you a non-exclusive, non-transferable right to use the service while these terms are in force.
10. Disclaimers
The service is provided "as is" and "as available". Invoice detection, field extraction, and matching are automated and may be incomplete or inaccurate; we do not warrant that every missing invoice will be found or that every match is correct.
11. Liability
Nothing in these terms excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be excluded under English law. Subject to that, we are not liable for loss of profits, loss of data, business interruption, or any indirect or consequential loss; and our total liability under these terms is limited to £100 or, once paid plans exist, the amounts you paid us in the twelve months before the claim.
12. Suspension and termination
You may stop using PaperHound and delete your account at any time, which deletes your data as described in the Privacy Policy. We may suspend or terminate your access if you breach these terms, or on reasonable notice as an early-access service. Sections that by their nature should survive (6, 7, 9–13) survive termination.
13. General
We may update these terms; we will notify you of material changes, and continued use after notice is acceptance. These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. Questions: alex@paperhound.ai.
